Turn the systems you already use into templates people buy

A template is a head start: a finished layout or system the buyer copies and makes their own. Creators sell Canva social packs, Notion planners, Google Sheets budgets, pitch decks, media kits and website layouts. Many templates are delivered as a link rather than a file, which changes how you package them.

Updated

How do you deliver a Canva or Notion template?

Deliver a short PDF that contains the template links. Canva templates are shared with a "template link" that makes a fresh copy in the buyer's own account, and Notion templates with a public page the buyer duplicates into their workspace. You upload the PDF as the product file, and buyers get it the moment they pay.

Putting links inside a PDF, rather than pasting them in the product description, keeps them behind checkout. It also gives you room for instructions. A good delivery PDF has:

  1. A welcome line and what is included.
  2. One clearly labelled button or link per template.
  3. Three to five steps to copy it into their own account, with screenshots.
  4. Tips for customising: fonts, colours, where to swap photos.
  5. Your licence and how to get help.

For source files, such as Photoshop .psd, Illustrator .ai, Figma exports, Lightroom catalogues or Excel .xlsx, zip them together with the same PDF.

Which templates sell best for creators?

Templates that save time on a task the buyer repeats every week. Social media packs, content calendars and planners sell steadily because the need never ends. Business templates, such as media kits, rate cards, pitch decks and invoices, sell well to other creators because they help them earn.

Popular examples and what to include:

  • Canva carousel pack: 30 carousel layouts in your style, sized 1080 by 1350, with fonts that are free in Canva.
  • Notion content planner: an ideas database, a calendar view, a posting checklist and a performance tracker.
  • Google Sheets budget: monthly and yearly tabs, built-in charts, and a "how to use" tab at the front.
  • Media kit: a two-page layout for audience stats, past brand partners and rates.
  • Pitch email pack: a Google Doc of 15 email templates with notes on when to use each.

How much should I charge for templates?

Single templates sell for £5 to £15; packs and complete systems for £19 to £49. The more a template saves or earns the buyer, the more you can charge: a media kit that helps land a £500 brand deal is worth more to the buyer than a decorative planner page.

Tiering works well with templates:

  • Starter: a single template at £9, which leaves you £8.66 on a UK card.
  • Full pack: everything at £29, which leaves you £28.36.
  • Order bump on the starter: the matching Instagram story templates for £5.

Use the "was" price to show the saving of a bundle against buying parts separately, and keep it honest: the "was" figure should be what the parts really cost.

How do I protect my template links?

Keep links out of public places and treat them as the product. Put them only in the delivery PDF, which stall.bio keeps in private storage and hands out through download links that expire after 10 minutes. If a link leaks widely, make a fresh copy of the template and upload a PDF with the new link.

In Canva, share as a template link, never with edit access, or buyers will change your master copy. In Notion, publish a separate copy for buyers to duplicate and keep your working version private.

What licence should my templates have?

Write a short licence in plain words and put it in the delivery PDF. Most creators allow buyers to use templates for their own brand and for paid client work, and forbid reselling or giving away the template itself, edited or not. Say it in one line in the product description too, so buyers know before they pay.

If you use photos, fonts or graphics inside the template, check that your own licence for them allows use in a product you sell. Canva's free elements are generally fine within Canva templates; paid stock elements may require buyers to have their own licence.

Is there VAT on templates?

Templates are standard-rated in the UK, so a VAT-registered seller charges 20%. Below the £90,000 registration threshold you charge nothing. Turn VAT on in stall.bio's Payments page, set the rate and say whether prices include it; the receipt shows the VAT.

You remain responsible for your returns, including any for EU consumers, who are taxed at their own country's rate.

Example: a Notion creator sells a planning system

Maya films "plan with me" videos on TikTok. Her store:

  • Free: a one-page Notion weekly planner, as a lead magnet. The PDF holds the duplicate link and a 60-second setup guide.
  • Main product: "Creator OS", a Notion system for ideas, scripts, posting and brand deals, at £34.
  • Order bump: 20 matching Canva cover images for Notion pages at £6.
  • Discount code: OS10 for £10 off, limited to 100 uses, announced in a live session.

Her product page lists every database in Creator OS as a bullet, so the "What you get" list shows the depth at a glance. Maya is a made-up example.

Template launch checklist

Before publishing:

  • Each template is copied from a clean master, with your personal data removed.
  • Canva links are template links, not edit links.
  • Notion pages are duplicated from a public copy, not your working version.
  • The delivery PDF lists every link with copy instructions and screenshots.
  • Every link has been tested from a different account, logged out.
  • Fonts and elements are free for buyers to use, or the PDF says what they need.
  • Source files are zipped with the PDF, if you include them.
  • The licence is in the PDF and summarised in the description.
  • The cover shows the template in use, readable as a small square.
  • A single free template is set up as a lead magnet.

Questions, answered

Can I sell templates made in Canva?

Yes. Canva's licence allows you to sell templates you design, shared as template links, as long as you are not reselling Canva's own elements on their own. Buyers then edit their copy inside Canva. Check Canva's current licence terms for the elements you use before you launch.

Do buyers need a paid Notion or Canva account?

Usually not. Notion templates duplicate into free personal workspaces, and Canva templates open in free accounts, unless you have used paid elements or features. Test from a free account before launch and say clearly in your description if anything needs a paid plan.

What file do I upload for a link-based template?

Upload the delivery PDF that holds the links and instructions. That keeps the links behind checkout and gives buyers everything in one place. If you also include source files, zip them with the PDF and upload the ZIP instead.
